Job Summary
This role involves providing essential administrative and project support to the city administration of Mönchengladbach on a part-time basis (19.5 hours/week). The assistant will manage front office duties, including scheduling, correspondence handling (phone, mail, email), guest reception, and detailed clerical work. A significant portion of the role focuses on operational project control, such as maintaining project plans, coordinating meetings, minute-taking, and reporting. The position also requires involvement in organizing public events and handling basic commercial tasks like inventory and invoice processing. Candidates must possess formal administrative qualifications or relevant professional experience, strong organizational skills, proficiency in Microsoft Office applications (Word, Excel, Outlook, OneNote), and a proactive, service-oriented demeanor to effectively support the team and communicate with citizens.
Required Skills
Education
Qualification for career group 1, 2nd entry level of the non-technical administrative service, or completed administrative specialist training (Verwaltungsfachangestelltenausbildung) / completed Administrative Course I, or completed training in an administrative-adjacent profession.
Experience
- Professional experience in secretarial work (preferably several years)
- Experience supporting project work
- At least two years of job-related professional experience in an administrative-adjacent profession, or at least two years of experience in clerical work within a public administration (if not possessing formal administrative qualification)
