Job Summary

This role as an Executive Assistant offers the opportunity to work directly with the Institute Director within a vibrant, international university environment in Bern. The core responsibilities involve proactive and independent management of the Director's agenda, including planning and coordinating all appointments, meetings, and domestic and international travel logistics, from preparation through expense reporting. You will be instrumental in the planning and execution of meetings, events, and conferences, including minute-taking and follow-up actions. Success in this role requires exceptional organizational skills, discretion, loyalty, and the ability to maintain composure during demanding situations. You will serve as a reliable and approachable point of contact for staff, students, and guests, utilizing strong communication skills in both German and English, with occasional French correspondence. This position is ideal for a service-oriented professional who thrives on variety and international coordination.

Education

Completed commercial/business vocational training (Kaufmännische Ausbildung)

Experience

  • Several years of professional experience, ideally in Executive Assistance, organization, or travel/tourism management
  • Experience in planning and coordination of international appointments, travel, and conferences
  • Professional experience in managing complex agendas and logistics
  • Proven ability to work proactively and independently while maintaining discretion and loyalty
