Job Summary

This part-time (15.6 hours/week), fixed-term role until mid-2028, places you at the heart of the Waterways and Shipping Office Mosel-Saar-Lahn in Trier, providing essential administrative support to the management team. Day-to-day responsibilities include managing the executive's front office, handling all correspondence and scheduling via Outlook, coordinating appointments, and ensuring thorough preparation and follow-up for all meetings. You will also oversee general internal service tasks, manage office operations, and maintain meticulous records and file management systems. Candidates must possess completed vocational training in administration or office management, coupled with thorough knowledge of internal services, procurement processes (VOL), and standard Microsoft Office applications (Word, Excel, Outlook). Excellent organizational skills and fluent written and spoken German (C1 minimum) are mandatory for success in this highly service-oriented role.

Required Skills

Education

Completed vocational training as an Administrative Specialist or Office Management Clerk (minimum 3-year professional training).

Experience

  • Professional experience in Internal Services duties
  • Experience applying rules for records management (e.g., data protection regulations)
  • Experience in procurement (e.g., VOL)
