This role involves taking organizational and professional leadership of the secretariat, providing essential, high-level administrative support to the Head of Division II. Daily tasks include comprehensive calendar management, handling all incoming and outgoing correspondence, maintaining digital documentation and filing systems, and preparing detailed meeting minutes and materials. The assistant is also responsible for managing business travel logistics and expense reports, receiving and attending to guests, and assisting with project documentation and specialized information research. The ideal candidate must possess a relevant administrative qualification, strong proficiency in MS-Office, excellent communication and organizational skills, and demonstrated discretion, resilience, and a professional demeanor. This is a secure, permanent, full-time position offering a varied workload and direct involvement in high-level division operations.

Required Skills

Education

Certification in Middle Non-Technical Administrative Service or comparable qualification (e.g., Paralegal/Legal Assistant, Office Communication Specialist, or Office Management Specialist)

Experience

  • Professional experience in leading or managing a secretariat
  • Experience in complex organizational support for senior management
  • Experience in administrative tasks including expense reporting and document filing
