Job Summary

This role involves providing essential administrative and coordination support to the management of Work Area 2, focusing on evidence-based quality development and assurance within the State Institute for Schools (QUA-LiS NRW) in Soest. Day-to-day tasks include handling general administrative duties such as processing travel expense reports, managing procurement and contracting procedures, and assisting with the planning and control of the department's budget. The assistant will be responsible for creating formal administrative correspondence, managing calendars, coordinating appointments, and supporting the planning and execution of various events, including invitation management and material logistics. The position requires a completed vocational qualification in public administration or a related office management field, coupled with high proficiency in standard Office software and excellent written and verbal communication skills in German. This is a fixed-term opportunity until September 2026, offering flexible working hours, mobile work options, and professional development within a motivated public sector team.

Required Skills

Education

Completed training in public administration (Administrative Specialist or Employee Course I) OR completed office-related training (preferably Office Management Specialist, Office Communication Specialist, Paralegal, or Legal/Notary Assistant) OR equivalent.

Experience

  • Demonstrable experience in the creation of texts and reports
  • Experience in independently organizing project groups or events (Desirable)
  • Experience in handling procurement processes (Desirable)
  • Practical experience in resource management and handling business software (e.g., finance, project management) (Desirable)
